Introduction

This essay explores the issue of the communication process in the business environment and analyzes how its use affects the organization’s effectiveness. Two companies from the technology industry were chosen to prove that the practical implication of the communication process has a positive effect on business. This essay uses academic sources to reveal the concept and consider the communication process from the point of view of different researchers.

The Definition of Organizational Communication

In the organization’s context, the communication process is exchanging information within the company and outside it. Communication that occurs at all levels of an organization is called organizational communication. As a branch of management, communication is creating, communicating, and interpreting ideas, facts, opinions, and feelings about productivity, organizational effectiveness, and the achievement of organizational goals (Radovic and Salamzadeh, 2018). An effective communication process involves the interaction of employees and management to achieve the company’s goals. The communication process aims to improve organizational practices and reduce errors. Communication is one of the main tools managers use in their corporate environment; the communication process plays a central role because it is vital for everyone (Ilyash et al., 2019). Effective organizational communication improves internal communication flows and overall improvement of the environment in the organization (Romadona, 2020). Communication is critical to presenting new ideas, drafting proposals, negotiating, successful sales, and meetings.

Means of Communication in the Organization

Communication is crucial in information exchange, helping transfer the message from the sender to the recipient. The primary function of this process is to inform, persuade and promote. Communication that follows the hierarchy in the workplace is called formal communication; employees use it to do their job well. Top-down communication is used to organize high-quality interactions between managers and subordinates. Informal communication has nothing to do with the work hierarchy; employees communicate with each other to obtain relevant information. Informal communication, usually associated with interpersonal, horizontal communication, was primarily seen as a potential obstacle to the effective operation of the organization. However, the modern business model considers informal communication part of effective teamwork. The flow of information from employees to managers is called bottom-up communication. Downward communication takes place when information flows from managers to subordinates.

Ways to Achieve Effective Communication

Employers must communicate the relationship between organizational communication and the strategic plan, values, and objectives for a communication strategy to be effective. In the business world, nothing can be achieved without effectively communicating with employers, employees, clients, suppliers, and customers (Oyeniran, Ajetunmobi, and Jayesimi, 2020). Competent communication is built on trust between employees and company management. In addition, it is necessary to ensure that employees’ opinions are communicated to the company’s management. A clever strategy is often carried out from the top down; the leadership sets the tone for communication. A budget allows different types of communication media depending on the message to be delivered. Communication training can cover many topics, including company policy, effective writing, and presentation skills. The education process can help business leaders communicate effectively with their subordinates and each other. Studying the means of communication can explain how information is exchanged within the company and beyond. Given the complexity of evaluating communication data, a company must develop ways to evaluate the use of communication tools between employees and managers. Quantitative data that can be assessed include employee turnover, monthly and quarterly performance, and employees’ opinions.

Theoretic Influence on the Organization’s Performance

Communication is key to achieving the organization’s goals, motivating employees, and, as a result, performing at an above-average level. Organizational communication and organizational effectiveness are directly related (Haroon and Malik, 2018). Effective corporate communication improves relationships and minimizes employee dissatisfaction. Lack of proper communication can lead to poor planning and employees misunderstanding each other and management goals. Communication and leadership are impossible without each other, and there can be no successful management without effective communication and its complexity, which serve the work of management units with high efficiency (Ali Almamari and Kolluru, 2020). Communication conveys information about the organization’s mission and goals, policies, and activities to a broad audience. Communication is the link between decision-makers and all employees. Managers are responsible for encouraging the flow of information to improve the organization’s performance and the performance of all employees. This makes communication important for all involved as it brings together most management objectives.

An organization’s ability to share messages helps customers and employees feel they can share their information with the company and trust it. Good communication is now more critical than in previous decades as business and market conditions have become more complex. (Musheke and Phiri, 2021). Developing a strategic communications strategy and implementing it can provide organizations with several benefits, such as keeping employees motivated and engaged and promptly delivering clear, consistent messages to employees, which improves organizational performance.

Examples of the Effective Organizational Communication in Companies

Apple

Apple Inc. is one of the largest companies worldwide, it has its internal and external organizational communication strategies. Internal communication at Apple Inc. is a top-down model and is formalized. This type of communication within the company allows the directors to quickly make decisions and inform employees at all levels about goals and objectives. A company’s internal communication function is to raise awareness, enable decision-making, and motivate. Apple Inc. has also invested heavily in external communications, including creating awareness, persuading, and informing. One of Apple Inc. effective external communication strategies is to launch new products in extensive presentations with the whole world watching (Almeida et al., 2021). Presentations are an effective way of external communication that can inform users and create a company’s image. The company sought to raise awareness of its values ​​by providing public brand loyalty.

One of the company’s strengths in the field of communications is the development of a structured and easy-to-use communications suite. This document guides internal communication and how employees should interact with each other and customers. Apple Inc. has also made sure that its employees trust the brand they work for and, in doing so, keep employees productive. Apple Inc. uses traditional and digital marketing and communications strategies typical for today’s business. However, the company has focused more on digital communications. Consistency of messages across different social media platforms is essential as it ensures constant engagement with the target market. It is well-designed communication strategies that allow Apple Inc. to remain in the top three largest mobile phone manufacturers, maintain the company’s prestige and stop employee turnover.

Google

Google Inc. communication strategies are different from Apple’s, as their communication space is more open and loyal. Google Inc. is probably one of the most famous and highly regarded companies globally, and its communication strategies have been of paramount importance for this (Kim, 2020). The organization’s operating practices tend to be most closely associated with achieving high standards and customer focus, which subsequently improves the organization’s reputation. Google Inc. focused on several methods to enhance its performance within such parameters. At Google Inc., there is an operating culture whereby all Google employees believe that the company can achieve the stated vision, mission, and goals. This is the merit of a communication plan between employees and employers.

Google Inc. is committed to maintaining an open culture where every employee feels valued in their contributions and feels comfortable sharing ideas. Google Inc. is among the global companies, it has to recognize the importance of identifying employee engagement, employee satisfaction, and valuing human capital and human work within its culture, contributing to a worldwide reputation. The company employees are motivated and focused on high results; this can be called the most compelling example of a clever communication strategy and makes Google Inc. one of the best companies to work for.

Conclusion

The company’s external and internal communication process directly affects the motivation of employees, brand awareness, and reputation. The primary influence is on the top-down communication model, when management must accompany employees with information about goals and objectives, ensuring transparent and trusting relations. Without achieving effective communication, good performance of the company is impossible. As an example of the work of communication strategies, two large global companies were considered. Apple Inc. and Google Inc., using different communication strategies, achieve their goals and achieve record efficiency rates. Achieving effective communication within the organization should be the task of the entire management team.
