The process of planning for a project should incorporate the scenarios and challenges to its implementation. Project management aims to predict problems, mitigate their negative influence, and increase the chance of a successful and profitable change. The following summary of the project management plan provides information on how the team will approach these different aspects. The plan includes the project’s scope, timeframe, costs, quality, communication, and stakeholder management.
All goals, objectives, tasks, roles, timeframes, deadlines, and cost limits must be outlined and documented to control the project scope. The documents will be available to the whole team and regularly referred to for decision-making during the implementation phase (Abdilahi et al., 2020). The direction of the project, as outlined in previous report segments, is the introduction of the cloud-based Omnichannel-Retail Solution (ORS) by Scantranx to the business (Scantranx, 2021). The deliverable will be the fully integrated system Scantranx that contains information about the stores’ inventory, customer data, and other business intelligence. The written plan will help avoid widening the scope to introduce other technologies or strategies.
The schedule for the project is developed during the planning stage. The document contains deadlines for each phase and activity as well as individuals responsible for their completion. The tasks are defined and sequenced according to their importance, and associated resources are assigned (Miguel et al., 2019). Once the project enters the implementation phase, the designated project time manager will regularly review the schedule and finished tasks to assess the completion, analyze the deadlines’ feasibility, and prevent potential challenges.
The project cost management is completed in four steps, including resource planning, estimation, budgeting, and control. First, the resources needed are analyzed – TC does not require additional staffing or computers, as outlined previously. The main expense are the cost of Scantranx services, which are simple to estimate and budget accordingly (Bridges, 2022). The cost plan includes a subscription package for 2 locations, which comes under $160 per month (Scantranx, 2022). The control of this expense will be conducted using QuickBooks.
The quality of the project’s implementation will determine its success. The project’s goal is to implement Scantranx at the two business locations, integrating bookkeeping, inventory, online shopping, and scheduling, and the quality will be measured according to this goal’s completion. Thus, the main quality requirements are that the software is operational and contains all information necessary for retail operations. Moreover, all employees who will use the system must be educated on the essential features they will need to perform tasks.
The communication plan includes team members, methods, type and communication style, and the participants’ meeting schedule. The goals of communication are to inform stakeholders about the progress, budget, and timeline and discuss any decisions that pose challenges to the plan’s completion. Feedback opportunities include online and offline meetings with the team and stakeholders, as well as the designated email address for related questions available to all team members.
Stakeholders for this project include the upper management, employees, and customers. The upper management can participate in decision-making and influence the project – they should be informed about all progress and potential problems. As their view of the project is crucial, they should be included in discussions and kept updated on deadlines and issues. Employees and customers can provide feedback about the implementation process and be informed about general steps to reduce resistance to change. Overall, the stakeholder communication style is informative, as the program’s implementation is focused on educating employees and keeping managers updated.
