Turning Information Technology Department into Chief Information Officer Organization

Introduction

I am writing this proposal to inform you of the need to change the IT department into a CIO organisation. The proposed modification will improve the efficiency of the department. Besides, it will be easy to track data and other information from a central location.

Leadership philosophy

The leadership philosophy that will guide the project is participatory innovation through consultative framework for ensuring urgency and comprehensiveness of vital company data.

IT strategic plan

Internal IT strategies incorporated in the department include optimised infrastructure, well documented policies, wide accessibility, learning systems, and operational balance. The optimised infrastructure ensures that the IT strategies are smoothly operations to improve o organisational efficiency (Davenport, 2013). Proper documentation is a prerequisite for systematic information tracking and storage. Wide accessibility ensures that the entire personnel are incorporated in the information management system from a central point. The learning system improves on the skills of the personnel in handling information and responding to different demands. Lastly, the aspect of operational balance is critical in merging independent aspect of information management into a continuous system that is inclusive of the IT needs of the company (Schwalbe, 2013).

New CIO organisation

The new CIO organisation is different from the IT department since it is more comprehensive with lean and efficient personnel to manage it. Besides, the new CIO organisation is service oriented since it has an information tracker that has a cloud backup from the main server. The training needs of the company will determine the specific technology to be used. In the case of the new CIO organisation, the technology and courseware will be current, technically correct, flexible, interesting, and challenging in order to attract and maintain users. In addition, the new CIO program will incorporate IT learning principles which facilitate learning and behavioural changes when handling organisational data. Creating a vital and responsive IT system demands the use of varied strategies, perspectives, and skills. Based on our extensive experience in technical IT systems, the proposed new CIO organisation will encompass the elements of focus and operation to ensure a well-used and credible IT application (Galliers & Leidner, 2014).

Key services

Key services that need to be included in the new CIO organisation include introduction of a general IT coordinator position to be link between the directors and the other personnel. This post will ensure smooth operations since the IT coordinator will be an IT expert, especially in the field of systems functioning. There is a need to eliminate the positions of operations and information directors by merging their roles to the current systems director. This will reduce the ambiguity as a result of conflict of interest on who is to report to or who is responsible for the IT systems.

Key milestones

The first milestone is integrating the functions of the IT department into the new CIO organisation within the three months after the date of adoption. In order to achieve this, the key services will be merged. The second milestone is creating a centralised IT server to coordinate the organisational functioning within 4 months. This will be achieved through introduction of the centralised data management network into the current IT structure. The last milestone is introduction of the new CIO system to all IT personnel within the first 2 months of process modification at the company. This will be achieved through proactive training sessions by the CIO organisation.
